Open the project, go to the Project setup tab, expand the section the data belongs in, and click Add New Field at the bottom of that section. Project Details, Project Location, and Project Owner each have their own Add New Field button.
Use this when your contracts need a piece of project information that none of the standard fields hold.
Applies to: Users whose permission group allows editing projects. You can check yours under Settings → Permission groups.
Steps
Open the project from Projects, and stay on the Project setup tab.
Decide where the information belongs, then click that section heading to expand it: Project Details for dates, numbers, and value, Project Location for the jobsite address, Project Owner for the awarding party.
Scroll to the bottom of the expanded section and click Add New Field.
In the Add New Field sheet, pick a Field Type: Single Line Text, Multi Line Text, Dropdown Select, Single Checkbox, or Date Picker.
Under Field Configuration, enter a Field Name. This is the label people see when filling it in, and the name of the merge field you drop into a template. Add a Sample Text if you want a greyed-out hint inside the box; it shows on Single Line Text and Multi Line Text fields.
Tick Required Field under Validation if the form should not submit without it, then click Add field.
Enter the value for the new field on the project.
What happens next
The field appears in that section on this project, and the value you enter is available to your documents in the same way the standard project fields are. A template that references it produces a document with the value already filled in.
Before creating anything, it is worth checking Settings → Merge fields, which is the library for the whole account. The Project group there holds 34 standard project fields, and the page also offers Search fields…, Expand all, Export, and Add Custom Field for managing the library rather than a single project.
If this doesn't work
The section has no Add New Field button → only Project Details, Project Location, and Project Owner have one. Project Attachments, Roles & Responsibilities, and Contract packages do not.
You are on the wrong tab → the sections only appear on Project setup. Commitments, Tasks, Documents, and Activity do not show them.
Nothing is clickable → you likely have view-only access to the project. Ask an Admin in your account to change your role.
