Merge fields pull project data into your generated documents automatically, so you enter an address or a contract value once on the project and every document built from a template picks it up. The standard set lives in Settings → Merge fields, where the Project group holds 34 project fields. A project-related custom merge field is one you add yourself with Add New Field at the bottom of a Project setup section, for data the standard fields do not cover.
Most teams find one or two pieces of information their contracts need that no standard field holds. This is the way to capture it.
Applies to: Users with edit access to the project. Merge fields is available to prime (general contractor) accounts
Steps
Go to Settings → Merge fields to see what already exists before you create anything new.
Use the Search fields… box, or Expand all, to check the Project group. It lists 34 fields, including Project name ({{project_name}}), Project number ({{project_number}}), Project value ({{project_value}}), and the location and owner fields.
If nothing there fits, open the project, go to the Project setup tab, and expand the section the data belongs in: Project Details, Project Location, or Project Owner.
Click Add New Field at the bottom of that section and fill in the drawer that opens.
What happens next
The value you enter on the project flows the same way the standard fields do. A template that references the field produces a document with your value already filled in, so nobody retypes it per vendor.
The Merge fields page is the library view for all of this. It shows every group with its count (Prime 27, Signatures 6, Form Fields 6, Project 34, Scope 11, Vendor 29, Task 10), plus a Standard Template group and a Custom group holding the fields your own company has added. It gives you All categories, All sources, Expand all, Collapse all, Export, and Add Custom Field. Each row shows the Field name, the Merge code, an Example, and the Type.
Add New Field opens a drawer titled Add New Field. Pick a field type (Single Line Text, Multi Line Text, Dropdown Select, Single Checkbox, or Date Picker), then fill in Field Name, which is both the label people see on the form and the name of the merge field you drop into a template, and Sample Text, the greyed-out hint shown inside the empty box. A live preview shows how the field will look. Renaming the field later does not rename its merge field.
If this doesn't work
You cannot find Add New Field → it sits at the bottom of Project Details, Project Location, and Project Owner only. Project Attachments and Roles & Responsibilities do not have it.
The field is empty in a generated document → the value has to be filled in on the project itself. An empty project field produces an empty result.
You cannot open Merge fields → Merge fields is a prime (general contractor) page. Any signed-in user at a prime company can open Settings and Merge fields, so there is no Admin role to ask. A vendor-side account is sent back to the Settings hub instead.
