What are Project Roles & Responsibilities?

Roles & Responsibilities is the last collapsible section on a project's Project setup tab. It is where you name the Project Manager for the job and build the approval workflow that commitments on this project have to pass through.

Getting this right up front is what keeps commitments moving without anyone chasing signatures.

Steps

  1. Open the project and stay on the Project setup tab.

  1. Click Roles & Responsibilities to expand the section. The heading shows a completion count and a summary line in the form "PM: · Assignee: ".

  1. Under Project Manager ("Who manages the day-to-day operations of this project."), set the person who runs the job day to day.

  1. Under Commitment Approvals ("Configure the approval workflow logic. Changes can be saved as templates."), choose a Workflow type: Create new workflow ("Build a custom approval chain") or Select template ("Use a saved workflow template").

  1. If you are building a new one, pick the Workflow Approach: Sequential ("Approvers must act in order"), Parallel ("All can approve in any order"), or Conditional ("Flow changes based on value").

  1. Click Add Approver and add each person in the chain. For Sequential, the order you add them is the order they act in.

  1. Click Save as Template if you want to reuse this chain on future projects.

What happens next

The section heading updates with the completion count and the "PM: · Assignee:" summary, so you can see at a glance whether the project is staffed.

The same section also carries the other project roles: Coordinator ("Who is responsible for managing project tasks."), Negotiate Redlines ("Who can negotiate and manage contract redlines."), Authorized Signer ("Who can sign contracts on behalf of the company."), and Other Teammates ("Additional team members with project access.") with an Add Negotiator and Add Teammate button. Each person listed has View contact info and Remove.

A chain you saved with Save as Template becomes available under Select template on the next project. Saved approval templates are also managed in Settings → Commitment approvals.

If this doesn't work

  • Select template shows nothing to choose → no workflow has been saved yet. Build the chain you want, then click Save as Template so it is there next time.

  • Approvers are acting out of order → check the Workflow Approach. Parallel lets everyone approve in any order, Sequential forces the order, and Conditional changes the flow based on value.

  • You cannot add or remove people → you likely have view-only access to the project. Ask an Admin in your account to change your role.
