How do I fill out a commitment draft?

Fill out a commitment draft by working through each section in the left panel of the Commitment Draft page until every required field is filled and the Send for approval button turns on. Most fields are already filled in from the project and the template, so you are usually finishing the last few blanks rather than typing everything from scratch.

Steps

  1. Open the commitment draft. From the Dashboard Pipeline tab, click Continue drafting on a card in the Draft column, or open a commitment with a gray Draft badge from a project's Commitments tab.

  2. Review the section list in the left panel. The form is split into collapsible sections, each with its own X of Y complete count: VENDOR, PROJECT, PRIME, SCOPE, TASK, and CUSTOM. A section's count turns green when every field in it is filled (for example, VENDOR, 6 of 6 complete).

Required to send: every required merge field has to be filled, across VENDOR, PROJECT, PRIME, SCOPE, TASK, and CUSTOM. The completeness ring at the top counts every field in the package, optional ones included, so it does not have to be full before you can send. What gates Send for approval is the required fields only, and the subtext under the button tells you how many of those are left.

  1. Click Expand all to open every section at once, or Collapse all to close them, so you can see which fields still need input.

  2. Type a value into each empty field. Every entry saves on its own, All changes saved appears next to the completeness ring once the field is stored.

  3. Watch the completeness ring at the top. It shows how many fields are filled out of the total (for example, 19 / 38) and climbs as you fill each field. It counts optional fields too, so it can still be short of its total when the draft is already sendable.

Important: Using Change next to the document chip to switch which document drives the fields can clear values that don't carry over to the new document. Only switch the document if you truly need a different one.

  1. Click Change next to the document chip (for example, 01 - Subcontract Agreement) to pick a different document, if needed. Otherwise leave it as is.

  2. Finish any section still showing an incomplete count until the X merge fields left to fill subtext under Send for approval is gone and the button turns blue.

What happens next

As you type, All changes saved confirms each entry is stored, the section's X of Y complete count updates, and the completeness ring climbs toward its total. When every required field is filled, the X merge fields left to fill subtext disappears and Send for approval turns blue and becomes clickable. The ring itself can still be short of its total, because it counts optional fields as well. The commitment stays in Draft until you send it, so you can leave and come back without losing anything.

If this doesn't work

  • If Send for approval is greyed out → hover the button and the tooltip lists every gate that is still closed. There are four: No approval workflow set for this project, Select a commitment package to send, Select a vendor to send, and N merge fields left to fill. Only one hint shows under the button at a time. If the hint is the approval workflow, click it to jump to Project setup → Commitment Approvals. If it is merge fields, click that subtext to go straight to the first empty field.

  • If you need to change who approves the commitment → you cannot edit approvers on the draft. The Approval flow panel is read-only because approval rules are set for the whole project. Click Manage in project settings and edit the rules under Project Setup > Commitment Approvals.
