How do I collect commitment requests from people without full access?

Use Commitment intake forms to share a short request form with anyone who doesn't have full access, so they can send your team a commitment request without a user account. You set it up in Settings, under the WORKFLOWS section.

This is a common need when someone in the field or in another department needs to start a commitment but should not be added as a full user.

Steps

  1. Click your name at the bottom-left of the sidebar, then click Settings.

  2. Scroll to the WORKFLOWS section of the Settings page.

  3. Click the Commitment intake forms card.

What happens next

Opening Commitment intake forms takes you to the link settings. Turn on the Private link toggle, then use Copy under Shareable link and send the link out. The form itself is fixed: the people you share it with pick the project, choose what you are sending the vendor, select the vendor, and add anything they know, without signing in or taking up a user seat. Each submission lands in your commitments as a draft for your team to finish and send.

If this doesn't work

  • If you do not see Commitment intake forms in Settings → check the WORKFLOWS section; it is the third card, below Redline settings and Commitment approvals.

  • If Settings does not open when you click your name → your role does not include Settings access. Only Managers and Admins can open Settings and configure workflows, so ask an Admin on your team to set up the form.

  • If the person actually needs full access to your commitments → add them as a user instead under Settings > Employees & invites; intake forms are only for collecting requests from people you are not seating as users.
