What is a commitment intake form?

A commitment intake form is a guided form that lets someone request a commitment without needing a full Contracts Connected account. You turn it on and share it from Settings → Commitment intake forms, and every request that comes in lands as a draft in your commitments.

If people keep asking your contracts team for commitments over email and text, this gives them one structured place to ask instead.

Applies to: Admins and Managers set the form up. The person filling it in needs no account and no seat.

Steps

  1. Share the link. Send the private link to anyone who needs to request a commitment. Project managers, field staff, and outside partners are the usual audience.

2. They fill it out. The form is short and guided. They pick the project, choose what you are sending the vendor (the agreement type), select the vendor, and add any details they already know.

3. It becomes a draft. The request lands in your commitments as a draft for the contracts team to finish.

The form does not send anything to a vendor. It only creates a draft. Your contracts team still opens that draft, completes it, and sends it, so nothing leaves your company until someone on your team decides it should.

What happens next

The requester gets a simple experience and your team gets a clean, structured request instead of an email. Each submitted request shows up in your commitments as a draft, so you can see it counted under DRAFTS on that project's Commitments tab. Open the draft, fill in anything the requester could not supply, and send it the way you send any other commitment.

If this doesn't work

  • You don't see Commitment intake forms in Settings → your permission group may not include settings access. Ask an Admin to check Permission groups in Settings.

  • You shared the link but nobody can open it → the Private link toggle is Off, or the link was regenerated after you sent it. Regenerating creates a new link and immediately disables the current one, so anyone holding the old link loses access.

  • A request was submitted but you can't find it → look on the correct project's Commitments tab and check the DRAFTS counter. Clear any active Filters or switch Views, since a saved view can hide drafts.
