How do I set up a commitment approval workflow?

Approval templates define who signs off on a commitment before it goes out, and in what order. You build them once in Settings, then assign them to projects during project setup.

Steps

  1. Open Settings → Commitment Approvals. You'll see your existing approval templates with their Template Name, Type (Sequential, Parallel, or Conditional), and Configuration (the number of steps, reviewers, or tiers). The Used On column is not populated yet.

  2. Click New Template.

  3. Give it a Template name (e.g. "Standard Subcontract Approval").

  4. Choose the Workflow Approach:

    • Sequential: approvers must act in order, one after another.

    • Parallel: all approvers can approve in any order.

    • Conditional: the flow changes based on value (e.g. bigger commitments need more sign-offs).

  5. Click Add Approver for each person in the chain.

  6. Click Create template.

What happens next

The template appears in your list and becomes available to assign during project setup, where a project picks which approval workflow its commitments follow. When a commitment is drafted on that project, it routes through your approvers before it can be sent to the vendor.

If this doesn't work

  • If a commitment isn't routing for approval → check which approval template the project was assigned during setup.

  • If the wrong person is approving → edit the template here; changes affect how future commitments route.

  • If you need different rules for big vs. small commitments → use a Conditional workflow instead of maintaining two templates.
