Contracts Connected has four roles, View Only, Collaborator, Manager, and Admin, and each one sets what a person can see and do across the platform.
Picking the right role for each teammate is a common question, especially as your team grows.
The four roles
View Only: can view and download, but cannot create, edit, delete, assign, or approve. Best for people who only need visibility.
Collaborator: handles most day-to-day work across projects, a step below Manager.
Manager: full access to the work in their projects, including approving and assigning.
Admin: full access to everything, including account settings and billing. Admins always have complete access, which is why their permissions cannot be switched off.
Where roles are set
Admins manage what each role can do under Settings → Permission groups, where access is broken out by area (Projects, Tasks & Documents, Companies, Templates, Account & Billing Info, and more) and by action (View, Create, Edit, Delete, Assign, Approve, Communication). You assign a role to a person under Settings → Employees & invites when you invite or edit them.
What happens next
When you change someone's role, their access updates to match it. If they are signed in at the time, they may need to refresh or sign back in to see the change.
If this doesn't work
If you cannot open Permission groups or change a role → that requires Admin access. Ask an admin on your account to make the change.
If a teammate still cannot do something after a role change → open Permission groups and confirm that role grants the action, since each action can be turned on or off per role. Then have them refresh.
If you are not sure which role to give → use View Only for visibility only, Collaborator or Manager for day-to-day work, and reserve Admin for the people who manage settings and billing.
