How do I find and download project documents?

Written by Zach Koerber

Every approved and completed document for a project lives on the project's Documents tab, organized so you can pull an audit-ready set in a few clicks.

Steps

  1. Open Projects and click your project.

  2. Click the Documents tab. The count badge shows how many documents are on file.

  3. Above the grouped list, Project files holds documents that belong to the project itself rather than to a vendor. Files you add here ride along as attachments on every commitment package issued under this project, so vendors will see them. Use Upload files to add one and Create a New Group to organize them.

  4. Choose how to browse: By vendor groups documents under each vendor and commitment; By type groups them by document type. Saved Views are also available.

  5. Narrow the list with the filters: Period (month), Vendor, Commitment, and Type, or use the search box.

  6. Expand a group to see each document with its status and date. A "1 missing" style flag on a group tells you something is still outstanding.

  7. Select what you need (or Select all) and download.

Note the banner on this page: it shows approved and completed documents, ready for download. Pending requests and in-flight approvals live on the project's Tasks page instead.

What happens next

Downloads come named by your file-naming convention (set under Settings → Document naming, e.g. project number + Tax ID), so files drop into your records audit-ready without renaming.

If this doesn't work

  • If a document you expect isn't here → it may not be approved yet. Check the project's Tasks tab for its current status.

  • If the list looks too short → check the Period filter; it may be limited to the current month.

  • If you need one vendor's documents across all projects → open that vendor's profile → Commitments & Documents and download from there instead.
