Creating a Project on Contracts Connected

This workflow explains how to create a new project within Contracts Connected — the foundation for all scopes, workflows, and contract management.

1. Access the Projects Section

Steps

  1. From the left-hand menu, click Projects.

  2. Select “Add New Project.”

  3. A new project setup form will open for you to enter all required information.


2. Enter Project Details

Information to Complete

  • Company: Select your company from the dropdown.

  • Primary Contact: The main point of contact for the project.

  • Task Assignee: The team member responsible for project tasks.

  • Description: A brief summary of what the project entails.

  • Project Location: The address or site for the work being performed.

💡 Tip: If you need to include additional information, click “Add New Field” to create custom fields.

If applicable, you can also enter Project Owner Information toward the bottom of the form.


3. Save and Proceed to Team Management

  1. Click Save and Next once the project information is complete.

  2. You’ll be taken to the Team Management section.

  3. Your previously selected Primary Contact and Task Assignee will automatically appear here.

  4. To add more team members:

    • Check their names from the available list.

    • Click “Add All Selected.”

💡 Tip: Ensure that everyone who needs access to this project in Contracts Connected is added here.


4. Configure the Scope Workflow

The Scope Workflow determines who is responsible for creating and approving scopes within this project.

Steps

  1. Choose the appropriate department or region (e.g., Southwest Region).

  2. The system will automatically assign the designated approver (e.g., Lars) and add them as a collaborator.

  3. You can:

    • Add additional collaborators as needed.

    • Assign multiple approvers if more than one person needs to sign off.

  4. Click Save and Continue.

💡 Tip: Properly defining this step ensures the correct team members review and approve scopes efficiently.


5. Set Up the Contract Workflow

The Contract Workflow identifies who is responsible for sending out contracts once scopes are approved.

Steps

  1. Select the responsible region or department (e.g., Southwest Region).

  2. Review assigned users — your approver (e.g., Lars) will also appear here if configured in permissions.

  3. Click Save and Next.


6. Choose and Configure Project Documents

Steps

  1. Select the project type (e.g., Private Design Build).

  2. Review the document packages associated with the selected type:

    • Primary Contract Package — documents sent out immediately when a contract is first issued.

    • Flow Down — recurring or follow-up documents sent periodically (e.g., monthly).

  3. Review available contract templates, such as:

    • Design Agreement

    • Subcontractor Agreement (Long Form or Short Form)

  4. To customize:

    • Click “Add Document” to include one-off files required for this specific project or owner.

    • Any document added here will automatically be included in subcontractor communications.

💡 Tip: This setup ensures all subcontractors connected to the project receive consistent documentation.


7. Finalize and Save Your Project

  1. Once all configurations are complete, click Save and Next.

  2. Your project is now created!

  3. You can view it under Projects — for example:

    ABC Building Repair and Repaint

  4. Click into your project to confirm the setup. You’ll see there are no scopes yet — you can now click Add Scope to begin linking subcontractors and scope details.
