How do I view a vendor's commitments and documents?

Written by Zach Koerber

Open the vendor from Vendors in the left sidebar and select the Commitments & Documents tab on their Vendor Profile. Use the All, Approved, Under Review, and Not Received filters to change what the list shows.

If a document you know was sent is not showing, the filter is almost always the reason. The default view hides outstanding items.

Applies to: All users

Steps

  1. Click Vendors in the left sidebar (or press ⌘V), then click the vendor to open their Vendor Profile.

  2. Select the Commitments & Documents tab.

  3. Choose a filter above the list. All shows everything, Approved shows what has been accepted, Under Review shows what has been submitted and is being checked, and Not Received shows what has not come in yet. Each filter carries its own count.

  4. Use the Search documents... box to find a specific document by name.

  5. Check the Company Documents section lower down. Its count reads as a number out of a total, for example 0 of 0.

  6. Click Download above the list, then choose Download all or Select & download. Only completed documents are included, whatever filter you have selected.

What happens next

Read the note under the filters before you conclude anything is missing. It says the tab is showing completed documents, and that you use the filters above to see outstanding or overdue items.

That is worth repeating, because it is the most common source of confusion on this tab. A document that has not arrived yet, or is still being reviewed, will not appear until you select Not Received or Under Review. Select All when you want the full picture.

If this doesn't work

  • A document you expected is not listed → the default view shows completed documents. Select All, or Not Received, or Under Review. Clear the Search documents... box as well.

  • Every filter shows zero → nothing has been requested from this vendor yet, or the requests sit on a commitment that has not been sent. Check the vendor's Vendor Setup tab for outstanding setup documents.

  • You are looking for the vendor's W-9, insurance certificate, or license → expand Company Documents on this tab, or open the Vendor Setup tab to see them scored against the requirement checklist.
