How do I send a commitment to a vendor?

Written by Zach Koerber

You send a commitment once it reaches the Ready to Send stage. Open the commitment and click Send Commitment Package in the top-right toolbar. Before that, a commitment moves through Draft (you fill in the contract details), then In Review (it is approved internally), and only then becomes Ready to Send.

Most commitments pass through a few stages before they are ready, so it is normal not to see a send option the moment you create one.

Steps

1. Create the commitment first. See How do I start a commitment?.

2. Open it from your dashboard Pipeline, which groups commitments into the stage columns Draft, In Review, Ready to Send, Out for Signature, and Negotiations. The project's Commitments tab shows the same commitments as a filterable list with a status badge on each row, plus six tiles across the top (Awaiting my approval, Out for signature, Non-compliant, Pending change orders, Overdue, Drafts).

3. Wait for the commitment to reach Ready to Send. It moves through Draft, where you add the contract details, and In Review, where it is approved internally, first.

Important: sending releases the commitment to the vendor for signature. Make sure the package is final before you send.

4. Open the commitment and click Send Commitment Package in the top-right toolbar. That opens the send page. Click Send for signature, then confirm with Send package in the Send commitment package? dialog.

On the dashboard Pipeline, a Ready to Send card carries a Send to vendor button, but it only opens the commitment. The send itself still happens on the send page.

What happens next

Once you confirm with Send package, the commitment moves to Out for Signature and the vendor receives the package to sign. You can track it from the same Pipeline or Commitments view until it is signed and executed.

If this doesn't work

  • If Send Commitment Package is not available → the commitment has not reached Ready to Send yet. It is still in Draft or In Review; finish the contract details and internal approval first.

  • If you have not created the commitment yet → start there. See How do I start a commitment?.
