Welcome to our deep dive video where we explore the intricacies of managing tasks, documents, and the dashboard within Contracts Connected. This comprehensive guide will empower you to optimize your workflow and maximize efficiency.

1. Understand the Dashboard Layout

The dashboard is divided into three main sections, each representing a different level of responsibility and visibility within your organization:

a. My Tasks

  • Shows all items assigned specifically to you.

  • You are solely responsible for moving these items through the workflow.

  • Items here include contracts, scopes, or documents that require your direct action.

b. Consulting / Assisting Items

  • Displays tasks or scopes where you are collaborating or providing input.

  • You’re not responsible for approvals or submissions — instead, you contribute guidance or feedback to help your team complete the work.

c. All Projects

  • Provides a company-wide overview for managers and executives.

  • Shows all tasks and documents across every team member and project.

  • Ideal for tracking overall progress, team workload, and bottlenecks.

💡 Tip: “All Projects” access is typically granted to owners, department leads, or administrators overseeing multiple teams.


2. Interpreting Dashboard Indicators

Color Indicators

  • 🔴 Red: Task or document is overdue — immediate attention needed.

  • 🟢 Green: Task is active but not yet overdue.

Interactive Circles

Each dashboard circle (My Tasks, Consulting, All Projects) is interactive:

  1. Click on a circle to drill into that view.

  2. See which items are due, overdue, or pending approval.

  3. Each item includes a direct link to its related scope, document, or contract.


3. Sending Reminders

Contracts Connected allows you to send automated or custom reminder emails directly from the dashboard.

Steps

  1. In the My Tasks circle, find the overdue item you want to follow up on.

  2. Click the People icon next to the task.

  3. Select the team member responsible (e.g., Jamie).

  4. Optionally, select yourself to receive a copy.

  5. Click Send Reminder.

You can:

  • Type your own message, or

  • Use a predefined email template that automatically fills in key details (via merge fields).

💡 Tip: This built-in communication feature replaces manual email reminders, keeping all correspondence tied directly to the project record.


4. Filtering and Timeframes

Adjust Time Views

At the top of your dashboard, you can:

  • Change the timeframe view (e.g., this week, this month, next 90 days).

  • Choose a custom date range for deeper planning.

This helps forecast upcoming deliverables or identify overdue work.


5. Exploring the Tasks Section

The Tasks tab gives you a more granular view of everything happening across your projects.

Tasks Overview

  • Displays all project-related tasks in one list.

  • Each entry includes:

    • Task name

    • Assigned team member

    • Due date

    • Status (Pending, Overdue, Completed, etc.)

Filtering Options

Use filters to find tasks quickly:

  • By Scope Name — see all tasks under a specific scope.

  • By Company Name — view what each subcontractor or vendor is responsible for.

  • By Project Name — focus on one project’s full task list.


6. Document Management within Tasks

Within each project’s Tasks tab, you can also view and manage document progress.

Document Status Categories

  • Completed: Documents that have been uploaded and approved.

  • Pending: Documents that need review, approval, or signatures.

  • Signature Required: Contracts awaiting signature.

  • Pending Acknowledgment: Items the subcontractor needs to confirm they’ve read or received.

💡 Tip: This layout provides complete transparency into every document’s lifecycle, eliminating the need for external tracking.


7. Monitoring Activity

Activity Feed

At the bottom of your dashboard or task view, you’ll find an Activity section showing:

  • Which users are currently viewing or working on the project.

  • When subcontractors last logged in.

  • Recent uploads, approvals, and acknowledgments.

💡 Tip: Use this insight to identify when subcontractors aren’t engaging — for example, if they haven’t logged in, you can proactively reach out to get them back on track.
